Job Description

  • Greet clients and visitors with a welcoming demeanor.
  • Answer, screen, and forward incoming phone calls promptly.
  • Provide accurate information to callers and take detailed messages when necessary.
  • Manage the reception area, ensuring it is clean and organized at all times.
  • Receive, sort, and distribute daily mail and deliveries.
  • Schedule appointments and maintain calendars for conference rooms and appointments.
  • Assist in coordinating meetings and events as needed.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Perform basic administrative tasks, including photocopying, filing, and data entry.
  • Keep updated records of office expenses and costs.
  • Assist other administrative staff with overflow work, including word processing, data entry, and internet research tasks.
  • Handle inquiries and provide information to clients or visitors in person or via phone/email.
  • Ensure the reception area is stocked with necessary supplies (e.g., stationery, refreshments).
  • Follow company policies and procedures, including confidentiality protocols.
Skills
